We are committed to protecting your privacy and handling your data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and all applicable data protection legislation.

The Platform is currently in a pre-release testing phase. This policy applies to all data collected during testing and will be updated before any paid features are introduced.

By using the Platform, you acknowledge that you have read and understood this Privacy Policy. This policy should be read alongside our Terms of Service, which govern your use of the Platform.

2.1 Data We Do Not Collect

We want to be explicit about what we do not collect:

We do not collect or process any payment or financial data. The Platform is currently free and no payment infrastructure is in place.
We do not collect biometric data.
We do not collect data from your gaming console, PC, or device beyond standard browser and device information.
We do not read or access your private messages on Discord or any other linked service.

2.2 Children’s Data

The Platform is not intended for anyone under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have collected data from a person under 18, we will take steps to delete that data promptly. 3. How We Use Your Data

We use your personal data for the following purposes:

Platform operation: To create and manage your account, facilitate Competitions, process match results, maintain leaderboards, and provide the core services of the Platform.
Communication: To send you Competition-related notifications (match schedules, results, disputes), account notices, and service updates. We will only send marketing communications with your explicit consent.
Safety and integrity: To detect and prevent cheating, match manipulation, and other violations of our Terms of Service. This includes analysis of usage patterns and technical data.
Platform improvement: To analyse how the Platform is used, identify bugs and performance issues, and develop new features. We use aggregated and anonymised data for this purpose wherever possible.
Feedback and testing: To collect and analyse feedback from users during the testing phase, including survey responses, bug reports, and feature requests.
Dispute resolution: To investigate and resolve disputes between Users, including reviewing submitted evidence and communication records.

4. Legal Bases for Processing

Under UK GDPR, we process your personal data on the following legal bases:

Contract performance (Article 6(1)(b)): Processing necessary to provide you with the Platform services you have signed up for, including account management and Competition facilitation.
Legitimate interests (Article 6(1)(f)): Processing necessary for our legitimate business interests, including platform security, fraud prevention, analytics, and service improvement. We balance these interests against your rights and freedoms.
Consent (Article 6(1)(a)): Where you have given explicit consent, such as for marketing communications or optional cookies. You may withdraw consent at any time.
Legal obligation (Article 6(1)(c)): Processing necessary to comply with legal obligations.

5. Who We Share Your Data With

We share your data only when necessary and with appropriate safeguards:

5.1 Service Providers

Amazon Web Services (AWS): Cloud hosting and database services. Data is stored in AWS EU regions. AWS acts as a data processor under our instructions.
Metabase: Analytics dashboards using aggregated platform data. Metabase acts as a data processor.
Discord: Authentication and community features where you have linked your Discord account. Discord acts as an independent controller for data on their platform.

5.2 Public Information

Certain information is visible to other Platform users as part of the competitive experience:

Your username, gamertag, and profile image
Your team affiliations and roster history
Your competitive statistics, match results, and tournament placements
Your ranking and leaderboard position

This public display is a core feature of the Platform and is necessary for the competitive experience. You should not include sensitive personal information in your username, gamertag, or public profile.

5.3 Legal Requirements

We may disclose your data where required by law, regulation, or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of ProveIt, our users, or the public.

5.4 Business Transfers

In the event of a merger, acquisition, or sale of all or part of our business, your personal data may be transferred to the acquiring entity. We will notify you of any such transfer and any changes to this Privacy Policy.

5.5 No Sale of Personal Data

We do not sell your personal data to third parties.

6. International Data Transfers

Your data is primarily stored in AWS data centres within the European Economic Area (EEA). Where we need to transfer data outside the UK or EEA (for example, to US-based service providers), we ensure appropriate safeguards are in place, including:

Standard Contractual Clauses (SCCs) approved by the UK Information Commissioner’s Office
Adequacy decisions where the UK government has recognised a country as providing adequate data protection

7. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law:

When data is no longer needed, it is securely deleted or anonymised so that it can no longer identify you.

Data collected during the pre-release testing phase is subject to the same retention periods. Competitive data may be reset between testing phases, and we will notify users before any such reset.

Under UK GDPR, you have the following rights regarding your personal data:

Right of access: You can request a copy of the personal data we hold about you.
Right to rectification: You can request that we correct inaccurate or incomplete data.
Right to erasure: You can request deletion of your personal data in certain circumstances. Note that competitive data may be retained in anonymised form to preserve leaderboard and historical integrity.
Right to restrict processing: You can request that we limit how we use your data in certain circumstances.
Right to data portability: You can request your data in a structured, commonly used, machine-readable format.
Right to object: You can object to processing based on legitimate interests. We will stop processing unless we have compelling legitimate grounds.
Right to withdraw consent: Where processing is based on consent, you can withdraw it at any time without affecting the lawfulness of prior processing.

The Platform may contain links to third-party websites and services. This Privacy Policy applies only to the ProveIt platform. We are not responsible for the privacy practices of third-party services, and we encourage you to read their privacy policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will:

Post the updated policy on the Platform with a new effective date
Notify you by email at least 14 days before material changes take effect
Where required by law, seek your consent to material changes

Your continued use of the Platform after changes take effect constitutes acceptance of the updated policy.
